34/hour Definition and Purpose:
This position is responsible for day-to-day operation of the front counter of the Public Works, Community Development and Economic Development Building.
This position will perform various front office duties and tasks within the Public Works Office in conjunction with Community Development and Economic Development.
This position requires knowledge of general office and customer service knowledge.
Computer knowledge is essential.
Duties and
Responsibilities:
Provide support to the Public Works, Community Development, and Economic Administrative staff.
Provide customer service with office reception duties such as answering the phone for Public Works, Community Development, and Economic Development, assisting customers at the front desk and reviewing email from the general email account.
Receive and screen service complaints, concerns or questions from the public regarding Public Works, Community Development and Economic Development and route them as needed.
Generate and close out service requests in the designated program(s).
Enter completed tickets as needed.
Schedule appointments and inspections for Public Works, Community Development, Economic Development as needed.
Maintains office filing system and searches files to obtain requested materials.
Assist with processing department mail and interoffice correspondence.
Work with various computer and other electronic document management equipment and recommend any changes or enhancements to the document imaging system.
Operates copy machines, adding machine, postage meters or other normal business machines.
Receives and process permits as needed.
Performs other duties as required or assigned.
Knowledge, Skills and Abilities:
Knowledge of office practices, procedures, and processes; effective written and verbal communication skills, including knowledge of spelling, punctuation, grammar, language style, format, proofreading and editing skills; computer proficiency including data entry and retrieval, word processing, and spreadsheets:
proficiency in various computer software programs, including Microsoft Word, Outlook and Excel; must be able to communicate with residents in an understanding and professional manner, both in-person and over the telephone; ability to maintain effective working relationships with Village Management, fellow employees and the general public as well as to deal with citizen problems promptly, courteously, and tactfully; ability to work in a fast-paced environment, often requiring performance of several tasks at one time; ability to prioritize, plan and schedule work effectively, answer questions regarding operations and procedures; must be well organized and capable of handling a variety of duties; strong organizational skills including attention to detail, problem solving and follow through; must have the ability to perform the daily functions of the office without specific directions and supervision.
Minimum Experience and Training Requirements:
High school diploma or GED.
Experience in working with public in customer service environment.
Previous municipal experience is preferred.
Demonstrated proficiency in the use of personal computers, including email operations and timekeeping.
Equivalent combination of education and experience may be considered.
Physical Requirements and Work Environment The work is performed primarily in an office setting.
The noise level in the work environment is moderate.

The physical ability to lift light articles, sometimes weighing up to 30 pounds maximum and carrying of objects weighing up to 30 pounds; pushing and/or pulling objects weighing up to 30 pounds maximum.
Specific vision abilities required by this job include close vision and the ability to adjust focus, either with uncorrected or corrected vision.
