Intermodal Customer Service Assistant

Provides support and assistance to the intermodal service team.
Major Accountabilities:
Assists intermodal operations team employees in the performance of the movement of freight (loads) by performing the following duties:
Obtains necessary or required documentation from vendors, customers, or service providers.
Reviews invoice accuracy, completeness, required attachments, and fuel service charges (FSC's).
Maintains the invoice hold report - to ensure timely submission of invoices to the customers.
Databases entered loads with a minimum of in gate on a daily basis.
Responds to and is accountable for the Databased, not invoiced over 10 days report - escalating any invoice outstanding over 23 days to immediate supervisor for assistance, and reporting to accounting weekly on any invoices outstanding over 30 days.
Daily Prints and distributes payment exception report forms (PERF's) assists intermodal team with research, resolution, and response as needed.
Maintains and performs daily filing of load information obtained from intermodal team, sales and vendors.
Performs or assists personnel with tracing loads by calling on deliveries and empty containers.
Assists customer service personnel by monitoring the movement of freight to ensure timeliness of freight transfers and deliveries.
Provides regular status reports of shipments in progress to customers as needed or required.
Complies with all company rules, policies, and procedures. Works and behaves safely by following all safety rules and regulations.
Assists with investigation, research, and responses to discrepancies between actual and "Profile" invoicing as requested.
Assist with "Pool Management" and equipment procurement, as needed.
Performs any task required to support customer requirements and company goals.
Essential Skills/Experience:
High school diploma or general education degree (GED) required.
Strong interpersonal and demonstrated verbal and written communication skills, including excellent telephone skills.
Strong ability to plan, prioritize, and manage multiple tasks.
Must work well with others, including vendors, suppliers, and internal and external customers to achieve common goals.
Ability to develop understanding of intermodal transportation industry.
Ability to accurately input and edit transaction data, in a timely manner, (including accessorials and discrepancies) in the Company's computerized order-entry system.
Must possess a working knowledge of MS Office programs or other comparable computer software programs.
Must possess and exercise excellent customer service skills at all times.
Must consistently demonstrate professional and pleasant behavior and effectively communicate in stressful situations and/or environments
Other Skills and Experience preferred but not required:
One or more years related experience and/or training preferred.
Four-year degree from college or university preferred.


Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
